Drivers records

Hi, I’m about to do mod4 then looking for some fortnightly weekend casual work as I work fulltime. My question is how do I keep 28 days records, I is in a diary format? I assume the drivers card logs my driving but I need to log my ‘other work hours’ and rest periods.
Also if I don’t drive for a few months, do. I still need to log?
Btw my main work is driving a Vito demoing product so I can drive 5-6 hours some days but all non tacho.

We run a mixed fleet, so sometimes drivers are getting into vans.

We record those days, or days in the yard, or training, by filling in a sheet, similar to a timesheet. Days of the week + date on the left and across the top, columns for start finish time, hours spent driving, work, POA and ferry. We use them for evidence of WTD compliance hence the POA etc.

That is sufficient for DVSA. Having said that, DVSA don’t appear to know much about the rules and kept one of hours for 9 hours because they wouldn’t accept the sheet. We rang the RHA and they said yes the sheet is sufficient, but double checked with their solicitors who confirmed we were right. DVSA said the correct way to do it is to do printouts for the days you weren’t driving. That is one option, a handwritten sheet is valid.

You will be able to work up to 15 hrs drive 10 yep if you want as long as you make up the rest time

You only need to keep records for a week where you drive under EU regs

Thanks everyone for the advice, I will probably use a diary for logging shifts and other work and rest periods; and print out whenever I am driving.

At a new operators seminar last year the DVSA confirmed a diary is NOT acceptable and they will only accept an analogue tacho, digi print out or data on a digi card or a legally required log book.

I don’t think whoever said this has passed that information onto the guys at the side of the road because they seem fine with a well laid out diary.

That was my understanding

They will accept an adaptation of the legally required log book. As i said earlier, we have a loose leaf system which is based on the log book, but with additional columns for POA, ferry and if it’s single or double man. DVSA have rejected it at the roadside, saying that only digi printouts are acceptable, but both the RHA and their solicitors confirmed our sheets should be legally acceptable. Given that some of the van drivers only occasionally step in a 7.5, doing a manual digi printout for everyday in a van and/or in the yard would be a total pain.

Might invest in a log book then! Sods law the odd day I drive someone will stop me, especially if it’s one of Evils pictured trucks :slight_smile:

I mostly drive a desk these days, maybe out on the road once or twice a month,

I keep a record of my office duties, start & finish, rest days, & days out driving on my phones calendar which is linked/backed up to my desk PC in the office
this was suggested to me by a VOSA road side guy a couple of years ago but he did say he wouldn’t have a problem with it but some might

maybe its time they dragged themselves into the digital age & made an APP for recording WTD hrs?

How does this work if for someone like me who can’t get a job without experience, but got offered an odd weekend (maybe once a month) do I need to keep a record of what I’m doing for the other three weeks?

You only need records for all the work done in a week where you drove under EU regs

As I h h signed with an agency and awaiting calls! Can I clarify, ’ only need records for a week where I drive’ so if I remember that would be from Monday 00.00 I would need to do manual entries up to the Saturday or Sunday I drove?
Would this be the case for the first time I drive? (haven’t driven since getting my digi card?)

Legally you’re expected to record any other work you do in a week (00:00 Monday to 24:00 Sunday) in which you drive in-scope of EU regulations, you do not need to keep records for weeks that you do not drive.

The records can be on charts or printouts, you can manually enter the records into a digital tachograph but I wouldn’t recommend it, especially as you’re not used to using a digital tachograph.

Printing paper out of a digital tachograph is the best option.
